For industrial food ingredients, asking only “How much is this product?” is often not enough to generate an accurate quotation. The same ingredient can come in different grades, origins, brands, packaging formats, certifications, and supply conditions. Freight to Jakarta, Bekasi, Surabaya, Medan, or another Indonesian destination can also change the commercial offer.
Providing the right details from the beginning helps purchasing teams compare offers more fairly and gives suppliers enough information to identify a suitable product.
1. Exact product name and required specification
Start with the most precise product description available. If your company has an approved specification, attach it. Useful details can include grade, protein or fat content, moisture, purity, particle size, microbiological limits, preferred origin, allergen requirements, and required certifications.
If you do not have a fixed specification, explain which parameters matter most and tell the supplier what the ingredient will be used for. This can help narrow down suitable grades.
2. Estimated order volume
State the quantity clearly—for example 500 kg, 1 MT, 5 MT, or one container. For recurring requirements, include estimated monthly usage as well.
Volume can affect MOQ, unit price, freight efficiency, pallet configuration, stock planning, and whether the requirement can be served from local stock or needs an import plan.
3. Required packaging
Specify the preferred pack size when your factory has a requirement. Commercial ingredients may be supplied in bags, cartons, drums, pails, jumbo bags, or other formats depending on the product.
Packaging should also fit your warehouse, batch size, manual handling, powder-transfer method, hygiene controls, and stock rotation.
4. Intended application
Tell the supplier what you plan to produce. Examples include biscuits, wafers, chocolate, confectionery, ice cream, beverage powder, sauces, seasoning, processed foods, or bakery premixes.
You do not need to disclose a confidential formulation. A simple application description can still help identify whether the ingredient is technically relevant.
5. Delivery location
Provide at least the city or industrial area for a delivered quotation, such as Bekasi, Cikarang, Tangerang, Surabaya, Semarang, Medan, or Makassar.
Also confirm whether the price is ex-warehouse, delivered, FOB, CIF, or based on another agreed Incoterm or delivery condition. This makes supplier comparisons more meaningful.
6. Required delivery timing
State when the product is needed—for example “required in October 2026,” “first delivery by 15 October,” or “regular requirement beginning Q4.”
This matters because stock may be available locally, already in transit, planned for an upcoming shipment, or require a new import or production cycle.
Do not forget document and compliance requirements
For Indonesian food businesses, document requirements can be as important as price. Depending on the ingredient, supplier, origin, and your internal vendor-approval process, you may need to request:
- Technical Data Sheet (TDS)
- Certificate of Analysis (CoA)
- Halal certificate or halal supporting documents, where required and available
- Allergen statement
- Country of Origin information
- Food-safety or quality certifications available from the manufacturer
- Supporting documentation for Indonesian regulatory or import requirements where applicable
- Shelf-life and storage information
Do not assume that every grade or brand carries the same document set. Requirements should be stated in the RFQ so the supplier can confirm availability for the exact product offered.

How to compare quotations properly
The lowest price per kilogram is not always the lowest total cost. Compare the exact grade, specification, packaging, MOQ, remaining shelf life, origin, documentation, lead time, delivery basis, payment terms, and continuity of supply.
